Searching, Filters, Views and Columns

With people and payment records now in Beacon, you'll want to know how to find pieces of information - from specific people or payments, through to wonderfully tightly segmented groups! Let's go through how to do this now:

  1. The first thing to do is to give the search a try. Head to your 'People' records page, and then hit the Search icon: Screenshot 2021-04-27 at 09.20.22

  2. Type in at least the first three characters of the piece of information you're looking for - in order to keep Beacon nice and efficient, it'll only start searching once the first three characters are in.

  3. Look at the results you get. The search is incredibly handy for finding very specific pieces of information - but not ideal if you're looking for specific groups of people. For that, you'll want to use filtering!
  4. Let's have a look at filtering - remove your search from the search box, and head to the Filter Icon Screenshot 2021-04-27 at 10.31.58
  5. Click the filter icon, and then Add Filter
  6. The great thing about filters is that you can filter based on anything on the record type you're filtering on, but also on any record type that may be related. This might sound complicated - but if you remember when you added payments to your Beacon account, that you linked them to a person record rather than having to type the person in. This means that those records are now related!
  7. Bearing that in mind, scroll down the list of possible filters to Related Payments
  8. Click Related Payments - and Beacon will default to show you All People who have more than 0 Related Payments - so, in essence, anyone who has made a payment!
  9. You've created the filter - but this is something you may want to come back to in the future. Scroll down, and click the Save View button, and call this view 'Donors'.
  10. You can now access this view at anytime in the dropdown next to the Add Person button - and using this dropdown you can access or any other views you choose to create, or go back to the 'All People' view Screenshot 2021-04-27 at 10.59.38
  11. The last thing to note on these, is that you can change the information you see on the record page at any time. If you go to Columns - the middle icon on the far right, you can change the information shown on this screen. So if you want to quickly see a list of people who have donated, and their email addresses - that'll be nice and straightforward! Screenshot 2021-04-27 at 11.08.48

You've done it! That's Searching, Filters, Columns and Views all covered in one fell swoop. Don't move on just yet though. Filters and Views especially are likely going to be incredibly important to how you utilise your Beacon account, so have a play around with them and get a few set up.
